Privacy Notice

Scope. This SMS Privacy Notice explains how ScanX handles information related to our SMS program for scheduling and reminders. It supplements our main Privacy Policy.

What we collect

Phone number and consent status (opt-in/opt-out, timestamp, source).
Message metadata (time sent/received, delivery status, message IDs).
Limited message content (e.g., keywords like YES/READY/RESCHED; neutral reminders).
Appointment identifiers and links (no diagnoses are sent by SMS).

How we use it

To send scheduling messages, prep instructions, check-in links, results-ready notifications, and feedback requests.
To respond to your replies (e.g., HELP/STOP/YES).
To troubleshoot delivery and improve service quality.

HIPAA & sensitive data

We minimize PHI in SMS. Do not send sensitive information by text. When needed, we send secure, time-limited links to view documents or results in a protected portal. SMS records may be part of your health operations data and are protected accordingly.

Sharing

We share information with service providers who help deliver messages (e.g., Twilio) and store files (e.g., Google/Box) under appropriate agreements. We do not sell your mobile number or SMS consent data.

Retention

We retain essential records (phone, consent, message metadata) for operations and compliance. Message bodies are minimized and purged on a schedule (e.g., ~90 days), except where a longer period is required by law or for incident review.

Your choices

Text STOP to opt out at any time; text START to opt back in.
You can request access or deletion of SMS records where applicable by contacting us.

Security

We use technical and organizational measures to protect SMS data; however, SMS itself is not encrypted end-to-end.

Children

The program is intended for adults. For minors, consent should be provided by a parent/guardian.
